What does the conference fee include?

Your registration fee includes attendance at the event, access to conference sessions, access to sponsors/exhibitors and refreshments, excluding the conference dinner. Please visit the conference website or conference booking form for further details.


What is your cancellation policy?

Cancellations of registration can only be refunded if the cancellation is made on or before 28 September 2012. All refunds after this date up to and including 7 October 2012 are subject to a £30.00 administration fee that will automatically be deducted from your refund. Cancellations made on or after 8 October 2012 will not be refunded. All cancellations must be made in writing.


How do I nominate a colleague to attend in my place?

Please email the Conference Secretariat with the details of the changes required, quoting your registration reference number. Name changcan be made up to 16th October 2012


Am I eligible to apply for a consumer bursary?

A limited number of bursaries are available to cancer patients, carers and others affected by cancer. Undergraduates, pre-doctoral students and clinical researchers are NOT ELIGIBLE to apply for bursaries for patients and carers.


How can I apply for a patients and carers bursary?

Complete the bursaries for patients and carers application form either or online, by email or post.

The closing date for receipt of applications is Friday 29 June 2012 at 5pm. Successful applicants will be notified by 27 July 2012. If you are not awarded a consumer bursary, you may register as a lay delegate/patient under Category E.


I have not received an email confirming my registration. Why?

It could be that an incorrect email address was entered on the registration form or that your registration was not completed in the correct format. Please contact the Conference Secretariat for further information.


I wish to change my registration category.

Please contact the Conference Secretariat and we will do this for you, provided that you meet the eligibility criteria for the proposed category.


I am a clinician in research training. Can I register as a PhD student?

No. The PhD student registration category is for non-clinical PhD students only. If you are studying for a higher research degree (MD, PhD, MS etc.) or completing specialist registrar training, then the ‘Clinicians in research or clinical training’ category applies to you (Category C2). Only if you receive a studentship stipend may you register as a student.


I am a PhD student attending for one day only. Is there a special rate?

No. Full registration for a student is £110, whereas the day delegate rate for a non-student is from £100 - £150 depending on which day you attend.


I want to register for two days only. Am I able to register for a two day delegate rate?

Yes. A double-day rate applies to those who wish to attend the Conference for two consecutive days only. By selecting this category you will have access to the Conference only on the days that you have selected. If you are attending for more than two days, the full registration rate will apply.


If I register as a full delegate and I only attend one day, can my colleague attend in place of me, effectively sharing the registration?

No. Delegate badges cannot be shared between individuals. Each delegate must register for the Conference and pay the corresponding registration fee.


I am experiencing problems with the online registration form

Please contact the Conference Secretariat and we will take your details over the telephone and assist with your registration.


Can I register on the day?

Yes. However as room allocations are made on the basis of expressed interest, this may increase the risk of sessions becoming over-subscribed, and people being turned away. Payments via cash, debit card and credit card are accepted.


I have not received an email from WorldPay confirming payment. How do I know if my payment has been received by the Conference Secretariat?

The email confirming on-line payment is sent directly from WorldPay, not from the Conference Secretariat. Please allow up to 48 hours for WorldPay to send this to you, and ensure that the correct email address has been entered. If you have still not received an email after 48 hours, please email the Conference Secretariat and we will investigate what has happened.

Will I be guaranteed a place in the parallel sessions and symposia that I have selected?

During registration you are asked to indicate which sessions you would like to attend so that we can gauge the likely audience size for each session and allocate appropriately sized rooms. Whilst every effort is made to ensure that you can attend the sessions that you have selected, your selection does NOT guarantee you a place in the session of your choice. Places will be filled on a first come first served basis. You are advised to get there early if you want to be sure of getting a place.

I want to change my parallel session and symposium choices. How do I do this?

There is a link on the email confirmation which enables you to amend your session choices. Please note, all amendments must be made by the 16 October 2012 Please email the Conference Secretariat if you have any queries or require further assistance.
Please allow up to 24 hours to receive your email confirmation.

[ + ] Abstracts and posters

How will I find out if my abstract is accepted?

Authors will be informed by email of acceptance/rejection/selection of abstract for oral presentation by the following dates:
General abstract authors: between 9 - 13 July 2012
Late breaking authors: between 16 - 18 September 2012

I am unable to present my poster. Can a colleague present on my behalf?

Yes, as long as they are registered. If the deadline for registration has passed, they may register on the day. However, please note that changes cannot be made to the Conference books or CD after 14 September 2012.

Can I submit an abstract after the deadline for submissions has passed?

If you have missed the deadline for general abstract submission, you can still submit your abstract during the late breaking submission period (1-28 August). However, the possibility of being selected for oral presentation is much reduced at this stage and no abstract prizes are available. Once the late breaking submission deadline has passed, we are unable to consider new submissions. For details of abstract submission dates, click here.

How do I make amendments to my submitted abstract?

Please contact the Conference Secretariat detailing the changes. Changes received after 14 September cannot be accepted.

Can I change the day of my poster presentation?

Once poster presentation days have been allocated, it is not possible to change them as they are assigned by topic. If you are unable to present on your allocated day, a colleague may present in your absence provided they have registered.

How do I attach my poster?

Only by using the Velcro dots provided on your poster board.

When can I put up my poster, and when should I take it down?

Poster session times will be confirmed in your email confirming if your abstract has been successful.

Are the Conference abstracts published?

All abstracts accepted for poster presentations at the NCRI Cancer Conference are published in a searchable form on the Conference website shortly before the event. For guidelines on citing abstracts, click here.

I am a clinically qualified student. Can I submit an abstract for the Richard Hambro Student prize?

No. To be eligible to apply for the Richard Hambro Student Prize Award you have to be a registered PhD student. For more information about the Richard Hambro Student Prize, click here..

How do I get to The BT Convention Centre in Liverpool?

Full details of how to reach the venue by air, rail and road can be found on our venue information page.

Is there any car parking at the Conference venue?

There is a 1600 space car park available on site which is signposted Waterfront on the city wide 'available spaces' signage. Further details can be found on the BT Convention Centre website.

Is accommodation included in the registration fee?

No, the registration fee does not include accommodation. Full details of accommodation options are available via our accommodation page.

What kind of sponsorship opportunities are available?

Our major sponsorship packages consist of one Principal sponsor, four major sponsors, up to four conference supporters and one Internet Café sponsor. We have four scheduled Commercial Workshops, and these are available on a first come, first served basis. In addition, you can choose to sponsor a particular parallel session, symposium, or plenary speaker.

[ + ] Invited speakers

Does the Conference Secretariat organise accommodation for invited speakers?

Yes, if you are an invited speaker, we will organise your accommodation provided you let us know your accommodation requirements. We do not organise accommodation for presenters of proffered papers.

Can you provide me with a reference number for my accommodation?

As all the speakers' accommodation is booked under a group booking, there are no individual reference numbers. The hotel will have your name as your reference. If you are concerned about this matter please contact the Conference Secretariat.

How do I claim back my travel expenses?

As an invited speaker, expense claim forms will be available to you upon registration at the Conference. Please confirm your accommodation and travel arrangements with the Conference Secretariat at the earliest opportunity.
